MANAGEMENT REPORT February 2024
Minutes from the last meeting approved. Owner dispute hearing held with no owner present.
Owner Occupancy Rate:- 79%
Financials
Reserves: $781k (approx.)
Account Receivable: $28k (approx.)
Expenses that stand out:
Garbage very high, mostly overflowing recycling, boxes not getting broken down, non recycling items in recycling. Overage approx. $6k
Preventable:
please don’t put your recyclables in bin in a trash bag, they must be loose,
please flatten your boxes
Elevator maintenance was approx. $8k over budget
Gas bills were high, due to PG&E increasing rates. approx. 23% overage from budget.
Closed the year out approx. $6k under budget.
UNFINISHED BUSINESS
Sewer Lateral Inspection/Certificate
decision to go with a vendor with an inspection cost of $6,800, lowest bid. To stay in compliance with the city.
AT&T bill
Board is pushing Willis Management to work through getting the agreed upon rate prorated. Could be a refund as much as approx. $20k!
NEW BUSINESS
Gate entrance
Everyone is worried about the gate's constant dysfunction. Vendor and Manufacture on site 2/15, to tweak it. Update from that visit: 3 HOA board members were there. They replaced a faulty part and tuned the gate. Instructions on how to do basic resets of the gate were discussed and a few more owners will be trained on that.
New pedestrian exits
They were forced open by vandals and have been repaired and re-enforced. The plan is to have these be official emergency exits to enable the HOA to secure the doors leading to the elevator. Work in progress to make them official, but that is the plan.
Perimeter fence rust
The vendor has been put to patch up various spots. The framing was planned to only be painted on the outside. The HOA will keep an eye on the internal framing and see if that will need painting. Estimate is approx. $6k. It was decided not to proceed with this at this time.
Community involvement
No official plans as of yet, communication went out to see how much interest there was and then HOA will reach out to individuals to see what help they can be on various projects.
